How to create an event QR code
- Enter the event title, start and end time, location and a short description.
- Choose Calendar event to store the full event inside the code, or Google Calendar link for the widest scanner support.
- Download the QR code for posters and invitations — and the .ics file to attach to emails.
Calendar event or Google Calendar link?
A calendar event code (iCalendar VEVENT) works offline and is recognised by the iPhone camera and many Android cameras, which offer “Add to Calendar”. A Google Calendar link opens a pre-filled event page in the browser, so it works with any QR scanner but needs internet.
Good to know
- Times are saved in universal time (UTC), so guests in other time zones see the correct local time.
- Keep the description short — the more text, the denser and harder to scan the code becomes.
Ideas for event QR codes
- Weddings and parties: print the code on the invitation or save-the-date card so guests never forget the date.
- Webinars and online classes: put the meeting link in the location field and share the code on social media.
- Conferences and trade shows: one code per session on the programme and room signs.
- Schools: parents' evenings, exams and sports days on newsletters and notice boards.
- Shops and restaurants: sale days, product launches, live music nights and holiday opening hours.
- Clinics and salons: appointment reminder cards.
Writing an event that looks great in the calendar
- Title: short and specific, e.g. “Sara & Ali – Walima” or “Marketing Webinar: QR Codes”. It is what people see in their calendar list.
- Location: a full address that map apps recognise, or a meeting link for online events.
- Description: one or two useful lines, such as dress code, gate number or what to bring. Long text makes the QR code harder to scan.
- Time: set a realistic end time, because calendars use it to show the event block and send reminders.
Time zones handled for you
The times you enter are in your device's local time zone and are converted to universal time (UTC) inside the code. When a guest in another city or country scans it, their calendar shows the event in their own local time automatically. This is ideal for webinars and international online events. All-day events are stored as dates only, so they appear on the correct day everywhere.
Get people to the event, not just into the calendar
An event code saves the date; a location QR code takes guests to the venue with directions, and a WhatsApp QR code lets them RSVP with one tap. Many invitations print all three side by side, each labelled clearly. For ticketed events, see our QR codes for events and ticketing guide, and use the bulk generator to create a unique code for every ticket.
Frequently asked questions
Which phones support calendar QR codes?
iPhone (iOS 11+) and most recent Android phones recognise calendar events. If unsure, choose the Google Calendar link option.
Can I add a video meeting link?
Yes — paste the Zoom, Meet or Teams link into the location or description.
What is the .ics file for?
It is a standard calendar file you can attach to emails or put on your website; it opens in Outlook, Apple Calendar and Google Calendar.
Can I add a reminder or alarm to the event?
Calendar QR codes do not reliably support alarms across phones, so most calendars apply the user’s default reminder instead.
Can I create a recurring event?
Not with this tool. Create the first event, or share a Google Calendar link to a recurring event from your own calendar.
Can guests add the event to Outlook?
Yes. Outlook opens the .ics file, and Outlook mobile can add events from calendar QR codes.
